How to Set Up Wi-Fi for a Small Office (10–50 People)

How to set up reliable Wi-Fi for a 10 to 50 person office: router, access points, cabling, separate networks and voice-call tips from an IT manager.

Small offices usually start with the internet provider’s router and a couple of cheap extenders. It works for five people. At fifteen, calls start breaking up, the printer disappears, and someone says “the internet is slow again.” This guide explains how to set up Wi-Fi for a small office of about 10 to 50 people the right way, without enterprise prices.

The short version

  1. Stop using the ISP router for Wi-Fi. Use it only as a modem (bridge mode) or turn its Wi-Fi off.
  2. Get a proper router/firewall that you control.
  3. Use ceiling or wall access points connected by cable, not extenders and not home mesh.
  4. Cable every desk that doesn’t move. Wi-Fi is for laptops and phones.
  5. Separate networks for staff, guests, and devices like printers and cameras.
  6. Give voice calls priority if the office uses VoIP phones or softphones.

Step 1: Plan before you buy

Walk around the office with a floor plan and note:

  • How many people and devices. Count about 2–3 devices per person (laptop, phone, sometimes a tablet or headset base).

  • VPN support for remote staff
  • Regular firmware updates

Step 3: Choose the access points

Business access points are different from home routers and mesh systems in ways that matter in an office:

  • They are powered over the network cable (PoE), so you only need one cable to the ceiling.
  • They are managed together from one place, and devices move between them smoothly.
  • They handle many connected devices at once much better.

Create at least three networks (VLANs), each with its own Wi-Fi name if needed:

Step 6: Make voice calls reliable

If your office uses VoIP phones, softphones or Teams/Zoom all day, voice is the first thing people notice when the network is bad. From running a call-center network, these are the things that matter most:

  1. Cable the phones and the PCs that make calls whenever possible. Wi-Fi calls work, but a cable removes a whole category of problems.
  2. Prioritize voice traffic on the router (QoS), so a large download doesn’t break calls.
  3. Put IP phones on their own VLAN. It makes prioritization and troubleshooting easier.
  4. Check the upload speed of your internet line, not just download. Every call uses upload.
  5. Consider a second internet line from a different provider with automatic failover if calls are your business.

  • Change every default admin password, and don’t allow management from the internet.
  • Use WPA3 (or WPA2/WPA3 mixed) on staff Wi-Fi.
  • Turn on automatic firmware updates, or put a monthly reminder in the calendar.
  • Change the guest Wi-Fi password regularly.
  • Keep a simple document: what equipment you have, where it is, admin logins stored in a password manager.

Common mistakes I see

  • Wi-Fi extenders. They cut speed and cause dropouts when people walk around. Use cabled access points instead.
  • Home mesh kits in a 30-person office. They are designed for families, not for many users at once.
  • Everything on one flat network. Guests, cameras and the finance PC all together.
  • The router hidden in a metal cabinet with Wi-Fi turned on.
  • No one knows the admin password because the person who installed it left.

Start with one per 15–25 active users in open space, or one per enclosed room with heavy walls. Then check coverage with a free Wi-Fi analyzer app on a phone and adjust.

Is MikroTik good for small offices?

Yes, if someone on the team knows networking. It is very capable and affordable, but the interface assumes you know what a VLAN and a firewall rule are. If not, UniFi or Omada is easier to live with.
